Dan Church Aid (DCA) is a Denmark-based international NGO registered under certificate # 1083 by the Authority for Civil Society Organizations and working to improve the wellbeing of particularly the rural and pre-urban people in Ethiopia. DCA’s Programme mainly focus on save live, building resilience and fighting inequality targeting highly disaster-prone areas in Oromia, Amhara, Afar, and Gambella regions.
Currently, the DCA Ethiopia Office is looking for a competent HR and Admin Assistant.

Position Objective
The HR and Admin Assistant at DCA Ethiopia CO is vital in supporting daily administrative and human resource functions. This role focuses on supporting HR managers by maintaining accurate staff records and databases. The assistant will coordinate appointments related to recruitment, manage communications with guests and visitors, and ensure efficient document handling. By collaborating with the ProLog team for logistical arrangements and overseeing office resources, the HR and Admin Assistant will play a key role in optimizing the effectiveness of DCA's operations in Ethiopia.
Purpose
Manage the daily administrative and HR duties of a DCA Ethiopia CO. Assist HR managers as well as the overall human resource unit by maintaining staff information and managing databases and filing systems. Work with the collaboration of the ProLog team for hotel and flight booking and related tasks. Responsible for managing and release of supplies or equipment and keep record.
Engagement
- Schedules and organizes appointments related to recruitment process
- Handle all guests, visitors, and telephone calls, incoming out going letters
- Taking minute for all staff meetings.
- Make local arrangements and hotel bookings, Visa process to local and DCA/HQ staff as well as visitors.
- Maintain backup on shared folder (one drive) regularly
- Manage all incoming and outgoing letters.
- Updating HR Related Data (staff overview, Staff Recruitment tracker and staff organogram)
- Support on online system application (signatory, work permit Process).
Delivery
- Ensure proper coding and referencing HR documents and incoming and outgoing letters.
- Maintain staff contact address and profile updating &ensure employee contact details are updated and communicated to the team.
- Accountable for DCA admin related files (incoming and outgoing), including regular check-up of the (e)mai1box at the post office.
- Assist DCA-sponsored workshops, meetings, seminars, and other similar events, in coordination with the respective focal person.
- Ensure all office resources are maintained, protected, and properly functioning for the effective running of the DCA Program.
Job Requirements
- Education and experience: Bachelor’s degree in business administration information system, Management or related filed with 1- 2 years of experience.
- Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook
- Familiarity with HR software and databases.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills
